Recently, I read a book called “Your Knowledge Needs Management”. When I saw the title of the book, I was confused about how to manage knowledge in my head. With the understanding of “Personal Knowledge Management” (PKM) and the combination of Personal actual work and life, I finally have a little comprehension. Share it out for your reference.

What is personal knowledge management?

Personal knowledge management is a new concept and method of knowledge management, which can turn all kinds of data and information available to individuals into more valuable knowledge, and ultimately benefit their work and life. Popularly speaking, the concept of personal knowledge management generally refers to the process of collecting, digesting, absorbing and innovating knowledge through the establishment and continuous improvement of knowledge system by individuals through tools.

Why is personal knowledge management needed?

As a product manager, our responsibilities in our work cover a wide range of products, all problems are related to the product manager. This requires product managers to know more knowledge and collect a wide range of information. And the influx of information is likely to cause your brain to go down like “12306 during Spring Festival travel rush.” At this time, you need to make your knowledge systematic and structured through conscious knowledge management, so that you can learn new knowledge more effectively, master existing knowledge more effectively, and save time.

How do I establish the personal knowledge management system

Personal knowledge management is a big topic that can’t be built overnight. In the process of establishing personal knowledge management system, I used PDCA management cycle often mentioned in management. According to PDCA, I divide the whole process of knowledge system establishment into “plan – execute – check – action”, which goes round and round.

1. Plan

“Plan and act.” Before the establishment of knowledge management system, we must first analyze the current situation, clear their own goals, find out the analysis of their current problems. Use questions to know where you are going and where you want to go, and to come up with the best plan (or at least what you think is best for now).

2. Execute (Do)

“A journey of a thousand miles begins with a single step.” Now that you have a plan, let’s roll up our sleeves and work on it. In the process of making, I divided the whole implementation stage into four stages: collection — collation — learning and using — sharing.

(1) Collection

First of all, you need to determine the direction and degree of learning of your knowledge and build a knowledge structure that fits you.Choose the appropriate tools or channels (i.e. knowledge sources) to gather relevant knowledge based on your needs. The sources of knowledge can be divided into two aspects: online and offline. At present, I have few offline sources of knowledge (books and friends), so I would like to focus on my online acquisition methods:

  • Search engines: There is a vast ocean of knowledge on the Internet, and using search engines is one step closer to solving problems successfully.
  • Wiki: As a community-oriented co-creation and sharing, it provides an efficient platform for knowledge sharing, whether it is a comprehensive Wiki site such as Wikipedia and Baidu Encyclopedia or some professional Wiki sites.
  • RSS feeds: RSS was a big hit in the last few years, but with the rise of the mobile web, RSS has gone out of fashion. But I still subscribe to some sites using RSS feeds.

(2) Sorting

Knowledge on the Internet is generally fragmented, and we need to summarize and connect the fragmented knowledge. Through the classification of knowledge sorting and preservation, for our learning to provide convenience. At the same time, it is also convenient for us to find and synchronize in the future. In the process of knowledge sorting, I prefer to use Youdao Cloud note and Baidu Cloud two software to use. Save the public account, microblog and video you usually see in these two software. When using, it can be easily found out through the software’s own search function. Here, I need to say that the picture is saved, to avoid the tragedy of unable to find the picture:

  • Make the file name of the image as long as possible;
  • Do not store pictures separately, try to save pictures in the process, write the content of the picture or brief introduction;
  • Try using professional image management tools.

(3) Learn to use

After finishing, the most important thing is to learn. Transform knowledge from “information in your knowledge base” to “your knowledge.” Turn knowledge into skills through absorption and digestion. Don’t take on too much. It doesn’t matter if you fill your hard drive with all the knowledge you’ve collected. In this phase, I mainly used two tools to help me think: “Xmind” and “curtain”, for which I also purchased the Professional version of XMind and the premium account of “Curtain”.

(4) Sharing

“Learn to share your knowledge and you’ll get more.” In my opinion, sharing knowledge brings me the most benefits in the following aspects:

  • Consolidation of knowledge: The process of sharing is actually the process of systematically sorting out the knowledge already mastered, which is a difficult opportunity to review the knowledge already mastered;
  • Broaden the coverage of knowledge: There are limited ways to solve problems in learning and using. Sharing will help you to think in a deeper level, broaden your thinking and improve your existing knowledge.
  • On the spiritual level: You get recognition from sharing, and the respect you get from being recognized keeps you motivated to help others solve problems. This sense of accomplishment motivates you to learn more, creating a virtuous cycle.
  • Finally, from a selfish point of view: by sharing, you can turn your “tacit knowledge” into “explicit knowledge,” thereby “letting others know you know.” Create personal brand, enhance personal core competitiveness. (I think this is very important for product managers. There are not as many hard skills as there are in development, and the “soft skills” that product managers should have can easily fail to show up in interviews.)

3. Check

As a Chinese saying goes, “Seeing out is the way to know in, observing past is the way to know”. In the process of establishing the personal knowledge management system, we also need to keep stopping to summarize the implementation of the existing plan, analyze the problems and clarify the effects.

4. Adjust

“Everyone makes mistakes, but only a fool can make them.”

For the results of the summary inspection, we should affirm the successful experience, summarize the problems, and solve them in the next PDCA cycle.

In fact, many friends may have been doing the above, but did not form a method to complete, or consciously to do these things, I hope this article can throw off a brick, trigger you to think.

In addition, don’t neglect books as an important source of knowledge. The knowledge of books is systematic and dense, while the knowledge of the Internet is uneven and not systematic. Just because there may not be so many systematic books on the knowledge of Internet products, we still need to allocate their time and energy reasonably and find the “Pareto optimal” method that suits you.
